Troop Committee Meeting Minutes

MINUTES OF THE REGULAR MEETING OF THE

COMMITTEE MEMBERS FOR BSA TROOP #13 OF OXFORD, PENNSYLVANIA

The regular meeting of the Committee Members was held on Tuesday April 28th, 2009, at the Oxford Fire Hall (Board Room). The meeting was called to order at 7:10pm by Bill Day, Chairman.

CHAIRMAN — Bill Day reported:

Bill is feeling pretty well! Nothing further to report at this time.

SCOUTMASTER - Pops Griffin reported:

Orienteering Trip — Sean Norris is in charge with Ray Ramberger’s help; permission slips are due out this Thursday. Need to discuss the menu and other details.

Comments on the new website have been very positive.

Upcoming Events include:

ADVANCEMENT —Jim George reported:

Life Scout Board of Review is scheduled for Thursday, April 30th. Ray Ramberger, Brian Urig and John Grim are scheduled to administer the BOR.

Update: It was decided that additional Leadership Skills are required by the Scout to fulfill before advancement to Life Scout will be granted. Aaron plans to coordinate and lead Scouts to march in the Oxford Memorial Day Parade on May 25th, 2009 in order to fulfill this requirement.

Adults need to encourage and support all new elects in Troop Leadership. Youth Leadership Training was discussed and it was agreed that this has been overlooked by the Troop and must be required of all Scouts in current leadership roles within the Troop. Training weekends are available in May.

It was suggested that one Life Scout be nominated as Troop Guide.

OUTDOORS - Ray Ramberger reported:

April 17th — 19th : Canoe Trip to Pequea, Pa went very well!

Upcoming Activities:

May 1st — 3rd : French Creek / Orienteering; leave from Ramberger’s by 5:30pm.

Adults include: Jon Hoover, Brian Urig and Pops.

May 25th : Oxford Memorial Day Parade

June 4th : End of year picnic @ George’s; flyer will be distributed to Scouts at the beginning of May.

July 12th — 19th : BSA Summer Camp

Adult Leaders: Pops, Brian Urig, Jim George

August 13th — 19th : Sea Base, Becky George to handle

August ?: Activity for the scouts who are ineligible to participate in Sea Base High Adventure. Circle M was suggested by Jim Jordan.

October 16th — 18th : Chester County Camporee - Hybernia Park, Coatsville, PA; further discussions necessary.

Cabin mow schedule : Troop #13 is responsible to mow for May and June 2009.

EQUIPMENT — Brian Urig reported:

Equipment Updates:

Canoe Trailer: Transfer of title and inspection was completed (new tires, etc.) and it is now up to code. Final cost was approximately $650.00. Future re-paint/wrap was discussed.

Scout (Green) Trailer: due to be painted on May 11th at a cost of approximately $1000.00 (outside) and an additional $200.00 (inside).

It was suggested that monies in the amount of $200.00 per year should be set aside for annual upkeep of these trailers.

The Elk Patrol has been nominated by Brian Urig to receive a National Patrol Award.

FUNDRAISING — NO REPORT

Ray Ramberger and Matt D’Antonio discussed Spring Mulch Sale. Matt distributed letter last week to Scouts in an attempt to help clarify procedures.

TREASURER — Kelly Vining reported:

Recent Expenses include:

$136.00 — 8 life jackets

?? — 14 paddles/14 life jackets

$13.00 — safe deposit box renewal

Recharter Fees: Adult Leader fee was deducted from (active) "Scout Accounts" for each parent(s) , as applicable. All other Adult Leaders would be responsible to reimburse the Troop for the expense?

New checks and new stamp have been ordered

Donations received:

Children’s Building Fund: $170.00 Update: Thank you letter was sent on 4/1/09.

Some Scout Honor Card revenues have been applied to "Scout Accounts".

High Adventure Account monies were distributed in the amount of $121.67 for each Scout participating in Sea Base 2009. This amount will be applied to the last payment due to Sea Base on May 15th. This account should now be considered "closed out".

PUBLIC RELATIONS — Jon Hoover reported:

OLD BUSINESS / NEW BUSINESS

Mark Vining and Jim George will handle the transfer of the Oxford Fire Hall sign to Troop #13.

On a motion by Bill Day, seconded by Committee, the meeting was adjourned @ 8:35p.m. by an unanimous vote.

Next meeting will be held on Tuesday, May 26th , 2009 @ 7:00pm.
