The regular meeting of the Committee Members was held on Tuesday November 27^th, 2009, at the Oxford Fire Hall (Board Room). The meeting was called to order at 7:05pm by Bill Day, Chairman.

CHAIRMAN — Bill Day reported:

Special Guest, Michelle Hoover was introduced to the Committee. Ms. Hoover spoke with the Committee members about Venturing Crew 114 and requested to present same to Troop #13 Scouts on December 10^th which was agreed upon by the Committee. Upcoming winter camping trip, the 2010 Pilgrimage and Encampment at Valley Forge Historic Park will be held the weekend of February 12-14, 2010. Event will be open to Scouts 8^th grade and older and are encouraged to attend.

• Discussed schedule / adult coverage — Blanks in schedule were filled in for opening weekend; Kelly offered to type up "final" schedule and distribute via email to Committee members/parents.
• Netting — Jim George purchased netting and will take netting, tree wrapper and rope to Cameron’s for Friday’s opening sales day.
• Armstrong Cable Ad —Becky George placed ad to run from Sunday, November 22^nd thru Sunday, December 20^th; ad looks good!
• Ray Ramberger and Jim George will be picking up 100 trees and 50 wreaths on Wednesday and will deliver them to Cameron’s for Friday’s opening sales day.
• Prices were agreed upon by Committee — Trees will be priced $40/$50/$60 and wreathes $20. Trees and wreathes will be tagged prior to sale.
• % of Troop to Scout ratio of proceeds was discussed again. Committee agreed that for this fundraiser, the split will be 30% Troop to 70% Scout. The split would need to be discussed on a case-by-case basis prior to future fundraisers. In an effort to assure the availability of future Troop funds, it was suggested and agreed upon by a number of Committee Members that perhaps this split should be applied for all future fundraisers. The Troop no longer conducts a fundraiser dedicated completely to raising funds for the Troop, as was the case in prior years (Spring Chicken BBQ). Additionally, donations to the Troop are down considerably from prior years.

SCOUTMASTER - Pops Griffin reported:

Rifle weekend had some "issues" with certain Scouts, which were addressed by Pops and other adult leaders.

2010 Troop Recharting has been completed by Matt D’Antonio and Kelly Vining. Matt was issued a check from the Troop for the full amount. He will meet with David Trainor on December 10^th for required Charter Ogranization signature (Oxford Rotary Club) and it will then be turned into Council before the due date!

• Tuesday, December 1^st - PLC meeting at Higgin’s home @ 7pm.
• Friday, December 4^th — Downtown Country Christmas from 6 — 8pm includes Tree Lighting, Santa and Mrs. Claus, Carriage Rides, Art Stroll, Scavenger Hunt, Downtown Businesses open late. It was suggested that this would be a great opportunity for our Scouts (in uniform) to get out within the Community and advertize for both our Christmas Tree Sales and our Troop. Pops will discuss at next Scout meeting.

Ben suggested a "Quarterly Fundraising Events Calendar" for planning and budgeting purposes. Once fundraisers are agreed upon and scheduled for the quarter/year, Ben will create a document to be distributed to all Scouts and parents.

PUBLIC RELATIONS — Jon Hoover reported:

Jon sent news releases to various papers around the community to publicize the Christmas Tree Sale at no cost to the Troop

SECRETARY — Becky George reported:

Armstrong Ad was placed on November 19^th to run from November 22^nd thru December 20^th . Cost to Troop was $75.00.

On a motion by Bill Day, seconded by Committee, the meeting was adjourned @ 9:10.m. By a unanimous vote.
