Troop Committee Meeting Minutes

MINUTES OF THE REGULAR MEETING OF THE
COMMITTEE MEMBERS FOR BSA TROOP #13 OF OXFORD, PENNSYLVANIA

The regular meeting of the Committee Members was held on Tuesday September 22nd, 2009, at the Oxford Fire Hall (Board Room). The meeting was called to order at 7:15pm by Pops Griffin, Scoutmaster.

CHAIRMAN — Bill Day absent/NO REPORT

SCOUTMASTER - Pops Griffin reported:

Upcoming Events include

Bridge at the OARA has partially washed away and is need of repair. Discussion included different ways to repair and avoiding these problems in the future. Jim George and Brian Urig will assess the damage to the bridge and report back on their findings.

Leadership Training for scouts in leaderships roles currently and in the future was discussed AGAIN and it was agreed that this has been overlooked by the Troop and must be required of all Scouts in current leadership roles within the Troop. Committee Member/Chair position training is also offered and current adults in these roles should be encouraged to participate. Pops will take on this project scheduled for May 2010.

OUTDOORS - Ray Ramberger absent/NO REPORT

Upcoming Activities for 2009-2010

As reported by Jon Hoover/Jim George (2 adult leaders): Bike Trip went well; 7 scouts worked together as a group.

Fall Court of Honor and Awards Ceremony (Jim George / Becky George): TBD by Advancement Chair (computer issues)

October 16th — 18th : Chester County Camporee - Hybernia Park, Coatsville, PA (no tour permit needed)

"Blind Tent Setup" requires 5 additional tents, if available for competition.

November 13th — 15th : Rifle Shoot ( Brian Urig)

November 27th — December 20th : Christmas Tree / Wreath Sale

December: Dover Air Force Base? Christmas Tree Sales

January: Klondike Derby (no tour permit needed)

February: Ski Trip (Mark Vining)

March: Rock Climbing

March: Spring Court of Honor and Awards Banquet

April: Canoe Trip ( Jim George)

May: French Creek Orienteering w/ Venturing Crew and Girl Scouts (Ray Ramberger)

May 31st : Oxford Memorial Day Parade

June : End of year picnic

July 11th — 18th : BSA Summer Camp

ADVANCEMENT —Jim George reported:

New Upcoming Awards

Scout: Two Scouts(earned last spring, but not yet acknowledged/awarded)

Trailblazers — all new scouts who attended BSA Summer Camp ‘09

1st Class Scout: One Scout

Star Scout: One Scout

Palm: One Eagle Scout

Due to the George computer issues during the month of September, Fall Court of Honor will be

rescheduled for a later date. (Update: Troop Master data has been completely restored and is up-to-date.)

EQUIPMENT — Brian Urig reported:

Scout (Green) Trailer: Was used for Bike Trip and new shelving, tires, etc worked well. Question regarding the necessity for 6 dutch ovens. They are not only very heavy but take up access space. It was agreed that 3 dutch ovens would be sufficient for any trip and should be stored on the trailer at any one time.

Canoe Trailer: need to strip and prime the frame in preparation for spring painting (before canoe trip in April); storage box was discussed.

FUNDRAISING — Ben Jackson absent/NO REPORT

Matt D’Antonio discussed Christmas Tree/Wreath Sale scheduled for every weekend beginning on Friday November 27th to conclude on Sunday December 20th. Pops would contact Cameron’s Hardware (Loeb’s) to request the use of their facility again. It was discussed that participating adults will really need to step up and fill Bill Day’s previous role. As Fundraising Chair, Ben Jackson will be responsible for assuring adult and scout coverage is adequate.

TREASURER — Kelly Vining absent/NO REPORT

PUBLIC RELATIONS — Jon Hoover reported:

New photos on the website from Sea Base 2009 and the recent Bike Trip.

SECRETARY Becky George reported:

Rechartering was discussed; Matt D’Antonio will assist Kelly Vining this fall with this duty, in Bill Day’s absence. Due to increasing costs, inactive scouts and adults will be carefully reviewed.

Invitations for Fall Court of Honor and Awards Ceremony would be prepared and distributed to scouts as soon as a new date has been set.

Report on Gene Carns prognosis is very good. After surgery for laryngeal cancer (on 9/11), he has been released and is now recovering at home (on 9/21). The pathology report came back with great news - lymph nodes were not cancerous, so radiation and chemo will not be necessary! Dee Carns is grateful to all for the cards and prayers. Troop signed a card and sent it home with Scout last week.

One Troop 13 family is experiencing financial issues due to recent medical problems. As a result, a formal Eagle Court of Honor was never held for one Eagle Scout. Committee suggested that a special acknowledgement be made for the Scout's Eagle Achievement at the upcoming Annual Banquet and Court of Honor this spring. A special invitation will be sent to the Eagle Scout and his family next spring.

OLD BUSINESS / NEW BUSINESS

Chairman: Concerns have been raised regarding the health of our current Chairman and the fact that he has not been able to attend meetings. Brian Urig has agreed to take on a Co-Chairman role during the upcoming months, as necessary.

On a motion by Pops Griffin, seconded by Committee, the meeting was adjourned @ 8:15p.m. By a unanimous vote.

Next meeting will be held on Tuesday, October 27th, 2009 @ 7:00pm.
